The Department of Justice partnered with Datacom on a digital transformation project to digitise the existing court document management process.
I was part of an Agile team consisted of a project managers, solution architects, UX designers [2], business analysts and engineers. Sprint ran for two weeks with daily standups, backlog refinement, sprint planning.
The manual processing of thousands of physical court documents daily consumed significant time and resources for court staff, leading to delays in completing court proceedings. The Federal Courts of Australia aimed to transform their existing manual processes into a digital experience to improve the efficiency and productivity of court proceedings.
Develop a digital court file system that provides judges, lawyers, and court staff with on-demand access to court documents, streamlining court proceedings and saving time and resources.
As part of the discovery, I conducted following activities:
Analysed existing court document management process to identify pain points and opportunities for improvements.
Conducted interviews with subject matter experts (SMEs), court clerks, and judges to gain insights into daily court procedures.
Observed multiple court sessions to gain contextual insights into document usage during real court proceeding.
Conducted desk research, competitor analysis, heuristic evaluations of other document management tools to identify trends and best practices.
Developed personas and archetypes to define users' needs, behaviours, and motivations, and create journey maps to gain a comprehensive view of the user experience, identifying key interaction points, emotions, pain points, and opportunities at every stage.
Using Axure, we developed designs for user stories during the design sprint. Given the complexity of the document management system, we had to tackle hundreds of user stories within strict deadlines.
Conducted several rounds of user testing to validate the proposed design to uncover any usability issues and opportunities for improvement.
The Digital Court File launched successfully and currently used in selected Federal Courts in NSW.
